AI agent vs chatbot — answers or actions?

Buyers often ask for a “chatbot” when they actually need an agent that can take steps in CRM, email or ops tools — or the reverse. This guide separates the two so you can brief AI agent work → without buying the wrong shape.

Chatbots and agents both use language models. The difference that matters in production is job boundary: answers people read, versus actions systems perform under rules.

When a chatbot (or Q&A assistant) is enough

  • Staff or customers need explanations, FAQs or policy lookups grounded in approved content.
  • Writes to systems of record are rare — or always human-approved outside the bot.
  • Latency and cost matter more than multi-step planning across tools.
  • You can point at a corpus (help centre, SOPs) and define escalation to a person.

Thin “chat only” demos fail when the real ask is “update the ticket and book the follow-up”. If answers must become controlled writes, look at RAG assistants → paired with agents, not a widget alone.

When you need an agent

  • The job spans several tools: read CRM → draft → wait for approval → write back.
  • Exceptions and branching matter more than a single reply.
  • You need audit trails, permissions and clear stop conditions.
  • Humans stay in the loop for high-impact actions — agents prepare, people decide.

Agents are software with a brief, tools and guardrails — not a smarter FAQ. Our agents practice → treats integrations and oversight as part of the product. Related: automation vs agents →.

Pitfalls we see

  • Buying a chatbot SKU for an agent-shaped problem (or funding an agent platform for static FAQ).
  • No source of truth — models invent when retrieval and permissions are missing.
  • Unscoped writes: the agent can change records before roles and review queues exist.
  • Skipping an AI business audit → when the process map is still fuzzy.

How to brief us

Say whether the outcome is an answer someone reads or a change in a system. Name the tools, who may approve writes, and what “done” looks like for one job. If you already know the shape, Scope → is faster than a long tour; if not, start with Audit or Contact →.
